How to file a T4 with CRA
T4 slips are due to CRA by the last day of February following the calendar year. For example, 2025 T4s are due February 28, 2026.
- Use this tool to prepare each employee's T4 slip and download the XML.
- Log into your CRA My Business Account at canada.ca.
- Navigate to Payroll → File a return → T4 (Statement of Remuneration Paid).
- Upload your XML file. CRA will validate it and confirm receipt.
- Issue a copy of the T4 to your employee by the same February deadline.
What is a T4 summary?
If you have multiple employees, CRA also requires a T4 Summary that totals all T4 amounts. When you upload multiple T4 XMLs through CRA's online portal, the system auto-generates the summary. For paper filing, you complete the T4 Summary (RC59) form separately.
Does this file the T4 for me?
No. This tool generates a CRA-formatted XML file that you then upload yourself to your CRA My Business Account. The upload takes about two minutes. Your Business Account confirms receipt and assigns a confirmation number — keep that for your records.
What is a business number (BN)?
Your CRA Business Number is a 9-digit identifier assigned when you register your business. The payroll program account number takes the form 123456789 RP 0001. You can find it on your payroll remittance notices or in My Business Account.
